Logistics Coordinator

Description

General Description:

Coordinate and support logistics, traffic, and inventory activities across the business, including inbound/outbound shipment coordination, customs and carrier liaison, and warehouse/inventory accuracy, while also assisting customer service and operations functions alongside the reporting manager for the different business units.

Ø  This role is newly created, other duties may evolve with time.

Responsibilities:

·       Work closely with warehouse lead on system inventory by conducting physical inventory counts and investigations for discrepancies, and creating inventory adjustments and transfers in NetSuite

·       Provide backend Sage 300 (legacy ERP), NetSuite,  and website administration including setting up users, updating customer and vendor accounts, customizing forms and templates, editing item information and pricing, mass imports/exports, etc.

·       Assigning and overseeing completion of mandatory and as-needed workplace training

·       Helping to ensure company records are up to date and accurate

·       Assist on regulatory or systems documentation creation where needed

·       Accurately update inventory pricing on pricelists, ERP systems, and company website as needed

·       Supporting and assisting CSR team with daily activities

·       Processing sales orders and confirmations, from multiple sources, sales quotes, email and phone

·       Ensuring lines of communication are open and clear with sales representatives

·       Help to diffuse and problem solve with customers as issues arise

·       Liaising with warehouse and sales when needed to ensure order fulfillment and on time delivery

·       Updating customers on any delays or pending back orders

·       Preparing back order list to warehouse team when containers are expected so they know what needs to ship out

·       Assisting fellow CSRs to alleviate and or help with day-to-day issues that may come up

·       Assist with obtaining freight quotes for inbound and outbound shipments as required

·       Oversee traffic-related shipment activities to ensure supplier bookings are completed and shipments are coordinated accurately

·       Ensure all required shipping documentation is received, reviewed, and maintained, including telex release confirmations where applicable

·       Submit all required documents to Finance for timely payment processing

·       Provide completed paperwork to customs broker for clearance and follow up as needed to avoid shipment delays

·       Coordinate with carriers and truckers to ensure goods are delivered to the warehouse accurately and without disruption

·       Maintain and update the shipping schedule to reflect current shipment status, expected arrivals, and delivery details

·       Prepare warehouse documentation in advance of incoming shipments to support receiving, counts, and inventory accuracy

·       Receive incoming products into NetSuite once containers are offloaded and ensure inventory records are updated accurately

·       Complete RMAs as required and coordinate related follow-up with internal teams and customers

·       Act as back-up support for Customer Service processing during vacation coverage or other absences

·       Process orders for house accounts while working closely with the Purchasing Manager to ensure accuracy and timely fulfillment

·       Work with couriers to resolve customs issues and support timely clearance and delivery of shipments

 

Minimum Educational Qualifications:

·       Applicants should have a degree in business administration or related field.

·       Ability to multitask and assist team when required
